Email Marketing Coordinator : Associate - (Ops)
We are seeking a proactive, detail-oriented, and organized Email Marketing Coordinator – Associate to manage and coordinate email marketing activities for multiple international clients. This role requires close collaboration with internal teams (designers, content reviewers, and client account managers) to ensure high-quality email campaigns are delivered on time and aligned with client expectations.
The Email Marketing Coordinator Associate does not serve as the primary point of contact with clients but plays a critical role in planning, executing, and dispatching email marketing campaigns while ensuring best practices are followed across all stages of delivery.
KEY RESPONSIBILITIES:
- Act as the primary coordinator for email marketing services for assigned client accounts.
- Serve as the main point of contact between client account managers and internal backend teams for all email marketing–related tasks.
- Based on client requirements, create newsletter sketches/wireframes and coordinate with designers to finalize layouts.
- Research, curate, and organize content for inclusion in newsletters and email campaigns.
- Manage, schedule, and deploy email campaigns using tools such as Mailpoet, Mailchimp, Constant Contact, or similar platforms.
- Attend and actively participate in voice and video meetings (Zoom/VOIP) with international clients, often during EST time zones, when required.
- Review newsletter designs, content, links, formatting, and branding before client submission and final deployment.
- Monitor and analyze email performance metrics such as delivery rates, open rates, click-through rates, and engagement.
- Implement email marketing best practices to maximize deliverability, engagement, and campaign performance.
- Coordinate with internal teams to ensure all newsletter-related deliverables (content, designs, banners, approvals) are completed within deadlines.
- Proactively follow up with internal teams and clients to ensure smooth execution of campaigns.
- Maintain accurate records of client preferences, campaign notes, and deliverables in internal systems.
- Ensure client expectations related to email marketing services are consistently met or exceeded.
SKILLS, QUALIFICATIONS, AND EXPERIENCE:
- Prior experience in email marketing or a similar coordination role is mandatory.
- Hands-on experience using Mailpoet, Mailchimp, Constant Contact, or similar email marketing platforms.
- Excellent written and verbal communication skills in English, with confidence speaking to foreign clients via Zoom or VOIP.
- Strong attention to detail with the ability to review and quality-check work produced by internal teams.
- Ability to manage multiple client campaigns simultaneously under tight deadlines.
- Understanding of email marketing best practices, deliverability standards, and campaign optimization.
- Experience designing newsletters is an added advantage, but not mandatory.
- Comfortable working with international clients and adhering to strict timelines.
WORK HOURS AND REQUIREMENTS:
- You must work 8 hours per day, 40 hours per week (Monday to Friday).
- 4 hours must be worked between 6:30 PM and 1:30 AM Sri Lanka Standard Time.
- The remaining 4 hours can be worked anytime during the day.
- You must define your work schedule in advance and adhere to it consistently.
- Weekend work is not permitted.
- You must have:
- A quiet, distraction-free home working environment
- A dedicated desktop or laptop (tablets and mobile phones are not permitted)
- A headset with a microphone
- A stable, high-speed internet connection capable of supporting Zoom meetings
- A quiet, distraction-free home working environment
- Your work device must have Zoom, Chrome, Firefox, Slack, antivirus software, and a mail client installed.
- You may be required to install additional software as needed.
- You cannot be employed by another company while working at Bizycorp.
